Kogaracon Exhibitor FAQ
Applications for the Artist Alley and Vendor Hall open in December and stay open for two weeks. The application date will be determined and announced on December 1. Applications will be announced with a link to the application form on Kogaracon.com as well as our social media. All applicants must be 18 years or older to apply.
How are applications judged?
All applications are evaluated through a screened lottery. This means that every application is individually reviewed to ensure compliance with our rules. Final selections are made randomly within each category.
What if I miss the application deadline?
Once the form closes, we will no longer accept applications. Please wait until next year to apply.
Can I join the waitlist?
Only applications received during the submission period are eligible to be added to the waitlist. Please note that we typically do not call any applicants from the waitlist, so the waitlist is limited to give applicants a concrete decision to make other arrangements.
Is the portfolio/catalog part of the application required? What if I don’t have a table display photo?
All required fields of the application must be filled out. Any required field that is skipped or filled in with “none,” “N/A,” etc., will result in an automatic rejection. Please take the time to prepare the required materials in advance.
If you do not currently have a display photo, we recommend staging a test display in your home or other accessible location. Digital mockups will not be accepted in lieu of display structures.
What if my merchandise at the convention doesn’t match my display photo?
We understand that new inventory may be created or acquired in the time between submitting your application and attending the event. An issue may arise if your complete inventory and branding are different enough from your application to suggest unauthorized subletting or proxy selling.
Display Rules
Our team is working within the limitations of a very small space. Please keep this in mind when planning your displays and be courteous to your neighbors.
- No structures may extend beyond your allocated space.
- No structures may extend into or obstruct any walkways.
- Displays must be sturdy and secured. If your display fails during the event, you will be required to change your setup.
- Displays have a maximum height of 8.5 feet.
- No items may be displayed facing outward toward a direct neighbor. If your table is next to a gap or walkway, this rule does not apply.
- Artists may not remove or move their tables.
- Vendors may set up freely within their allocated space as long as the above requirements are met.
Prohibited Items
Due to our college venue, the following items may not be brought onto or sold on campus.
- No representation of drugs and paraphernalia. Characters with cigarettes, cigars, or pipes as part of their design will generally be exempt from this rule.
- No realistic gore. Images containing detailed depictions of organs, excessive blood in a realistic color, or realistic depictions of wounds are prohibited.
- No sexually explicit artwork. Depictions of intercourse, nipples, genitalia, or excessive sexual expressions are prohibited.
For all of the above, you may request an individual review of the artworks in question. If there is an issue at the event, you will be asked to remove the item without penalty.
- No unauthorized trademarks, including logos and character names. If your product is not officially licensed, do not use trademarked logos or names. Creators of parody products may request a review for approval.
- Bootleg and counterfeit items are prohibited. If you are selling mystery bags, you must comply with content inspections.
- No AI-generated images. You will be asked to remove the item from your display. Penalties may also include removal of the vendor or artist from the event. The applicant assumes full responsibility for all items that they sell regardless of whether they commissioned the prohibited item from a third-party artist or vendor.
- No live steel or weapons, including wooden or training weapons.
- No item that violates Kogaracon’s Prop Policy.
- No item that is illegal in the state of NJ.
- No food may be sold by exhibitors. For food truck applications, please contact FoodVendor@kogaracon.com instead of applying through our department.
Exhibitor Policies
Internet and Electricity
Internet and electricity will not be provided. Internet connectivity is often an issue at the event due to the dense crowds. We recommend that artists and vendors prepare their own hotspots, lights, and power sources. Please be responsible and utilize trusted manufacturers for portable batteries.
Table Sharing
- Table sharing is permitted between two artists who indicate their intention to share on their applications.
- Table sharing must be approved in advance.
- Each artist involved in table sharing must submit their own application.
- If you do not submit an application during the submission period, you are not eligible for table sharing.
- Table sharing is not permitted for vendors.
Proxies (Artists)
Kogaracon’s Artist Alley does not permit proxy sellers. In the event of an emergency, please contact us at vendors@kogaracon.com. Any artist found to be misrepresenting themselves will not be allowed to vend in the Artist Alley. Penalties may extend to future events.
Refunds & Table Transfers
Refunds can be requested up to two months before the event. Table transfers are not permitted.
